WarmPath, Inc. (“WarmPath,” “we,” “us,” or “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit our website (getwarmpath.com) or use our relationship intelligence platform (the “Service”). Please read this policy carefully. If you disagree with its terms, please discontinue use of the Service.

Information We Collect

We collect information in three ways: information you provide directly, information collected automatically, and information from third-party integrations you authorize.

Note on email content: When you connect your email account, WarmPath only accesses metadata (sender, recipient, date, frequency) to calculate relationship strength. We do not read, store, or process the body content of your emails.

How We Use Your Information

We use the information we collect for the following purposes:

  • To provide, operate, and improve the WarmPath platform and its features
  • To map your firm's collective professional network and surface warm introduction paths
  • To deliver proactive alerts about intent signals (job postings, funding events, leadership changes) connected to your network
  • To generate relationship strength scores and timing recommendations
  • To send you product updates, security notices, and account-related communications
  • To respond to your support requests and inquiries
  • To analyze aggregated usage patterns and improve product performance
  • To comply with legal obligations and enforce our Terms of Service

We do not sell your personal data or use it to train third-party AI models without your explicit consent.

How We Share Your Information

We do not sell your personal information. We may share your information in the following limited circumstances:

  • Within your firm: Network data is shared with colleagues at your firm who are also WarmPath users, as this is the core function of the service. Your individual contact data is only visible to your own firm.
  • Service providers: We work with trusted third-party vendors (e.g., cloud hosting, analytics, email delivery) who process data on our behalf under data processing agreements.
  • Legal requirements: We may disclose information if required by law, subpoena, or other legal process, or to protect the rights, property, or safety of WarmPath, our users, or the public.
  • Business transfers: If WarmPath is acquired or merges with another company, your information may be transferred as part of that transaction. We will notify you before your data becomes subject to a different privacy policy.
  • With your consent: We may share information for any other purpose with your explicit consent.

Data Retention

We retain your information for as long as your account is active or as needed to provide the Service. Specifically:

  • Account data is retained for the duration of your subscription plus 90 days after cancellation
  • Network and relationship data synced from third-party integrations is deleted within 30 days of disconnecting the integration
  • Usage logs are retained for up to 24 months for security and product improvement purposes
  • You may request deletion of your account and associated data at any time (see Section 5)

When we delete data, we do so in a manner that makes it unrecoverable, unless we are required by law to retain it longer.

Your Rights & Choices

Depending on your location, you may have the following rights regarding your personal information:

  • Access: Request a copy of the personal data we hold about you
  • Correction: Request that we correct inaccurate or incomplete data
  • Deletion: Request that we delete your account and personal data
  • Portability: Request an export of your data in a structured, machine-readable format
  • Restriction: Request that we limit how we process your data in certain circumstances
  • Objection: Object to processing based on legitimate interests
  • Withdraw consent: Disconnect any third-party integration at any time from your account settings

To exercise any of these rights, contact us at privacy@getwarmpath.com. We will respond within 30 days. We will not discriminate against you for exercising any of these rights.

Opting out of marketing emails: You can unsubscribe from non-essential communications at any time by clicking “Unsubscribe” in any email or contacting us directly. Transactional and account-related emails cannot be opted out of while your account is active.

Cookies & Tracking

We use cookies and similar technologies to operate and improve the Service:

  • Essential cookies: Required for the Service to function (e.g., authentication sessions). These cannot be disabled.
  • Analytics cookies: Help us understand how users interact with the product (e.g., page views, feature usage). We use privacy-respecting analytics tools and do not share this data with advertising networks.
  • Preference cookies: Remember your settings and preferences across sessions.

You can control cookies through your browser settings. Disabling essential cookies will prevent you from using the Service.

Visitor Identification & Advertising

When you visit or log in to our website, cookies and similar technologies may be used by our online data partners or vendors to associate these activities with other personal information they or others have about you, including by association with your email address. We (or service providers on our behalf) may then send communications and marketing to these email addresses. You may opt out of receiving this advertising by visiting app.retention.com/optout.

Data Security

We take the security of your data seriously. Our security measures include:

  • Encryption of data in transit (TLS 1.2+) and at rest (AES-256)
  • Role-based access controls limiting employee access to customer data
  • Regular security reviews and vulnerability assessments
  • Third-party integrations using OAuth 2.0 (we never store your credentials for connected services)
  • Incident response procedures and breach notification protocols

No method of electronic transmission or storage is 100% secure. While we use commercially reasonable measures to protect your information, we cannot guarantee absolute security. If we become aware of a breach affecting your data, we will notify you as required by applicable law.

Children's Privacy

WarmPath is a professional tool intended for use by adults in a business context. We do not knowingly collect personal information from anyone under the age of 18. If we become aware that we have collected personal information from a minor, we will take steps to delete that information promptly. If you believe we have inadvertently collected information from a minor, please contact us at privacy@getwarmpath.com.

Third-Party Links

The Service may contain links to third-party websites, including LinkedIn, Bullhorn, and other platforms. This Privacy Policy does not apply to those third-party sites, and we are not responsible for their privacy practices. We encourage you to review the privacy policies of any third-party services you connect to WarmPath.

Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email (to the address on your account) and/or by posting a prominent notice on our website at least 14 days before the changes take effect. The updated policy will include a new “Effective Date” at the top.

Your continued use of the Service after changes take effect constitutes your acceptance of the revised policy. If you do not agree with the changes, you may close your account before they take effect.
